Welcome to our first conference newsletter, we are so excited to share some important updates from your Regional Board of Directors (RBD) and Regional Leadership Conference (RLC) teams in regards to this year’s Regional Leadership Conference!

Conference Theme & Dates

Theme: California Dreamin’: A Collective of Stories that Shape Us

A reminder that leadership is a mosaic as we are shaped by the leaders who surround and inspire us, and together we support and encourage each other

NEW Dates: November 14-16, 2025

The date change from November 7-9 was discussed at the previous regional chat, by approving the budget, the region gave permission to shift RLC to November 14-16, but the final confirmation will be shared alongside registration

Official dates, specific locations, and registration details will be confirmed as soon as possible to support early travel or flight bookings

Conference Location & Hotel Options

Location: San Diego as a neutral host site

There are two hotel and venue locations that are currently under review and pending confirmation. The RBD is working hard to get confirmations on these details and will provide the region with updates as soon as possible

Conference Budget & Registration

For the most detailed information on budget we recommend reviewing our Associate Director of Admin & Finance’s Budget Presentation Video 

Some important things to note

• This budget template was approved by the region at the previous regional chat

• A delegation cap may be implemented and would be noted during registration

• Exact budget and registration cost will be released alongside registration as soon as possible

Affiliation Reminder: Institutions must be affiliated before October 1st to fully participate in RLC (including voting in boardrooms). You may attend RLC if unaffiliated, but you cannot vote. Please reference the Affiliation Email for all the details you need to know to have a successful affiliation.

Bid Reminder

For this year the tentative timeline for bidding is as follows: 

• BID SUBMISSIONS due on Friday, October 17th, 2025 11:59 PM HST

• POLICY CHECK is on Friday, October 17th, 2025 to Sunday, October 19th, 2025

• BIDS RETURNED is back to author for revisions on Monday, October 20th, 2025

• REVISED BIDS are due on Thursday, October 23rd, 2025 11:59 PM HST

• BIDS RELEASED to region on Friday, October 24th, 2025 - 14 days prior to RLC 2025

Ways to get involved

Conference Committees: Applications are open for Chair of Philanthropy & Service and Finance Committees as well as various committee member positions, these will be filled on a first come, first served basis. Perks of Joining: Leadership development, behind-the-scenes experience, and helping shape RLC 2025!
